Managing a Submitted File

File managers review submitted files and add follow-up details to document the work done, quantify the time and money spent to resolve the issue, and add attachments to help explain the event cause and resolution. If your organization workflow requires, a file manager can modify the responsible owner and current owner. When a submitted file matches the attributes of your scope (e.g. you are the owner or you have viewing rights) you become an owner, the file appears on your File Info Center page, if configured by your administrator. The ultimate goal for the File Manager is to ensure that the file gets closed, signaling that all research and documentation for the file is complete. If necessary, files may be re-opened to add details.

Prerequisites: You must have the 'File Info Center' and 'View File' functions enabled for your role.

To open a file:

  1. Note: You may also open file from the Search page (see Search Result Activities).
  2. Click the File Info Center navigation icon.
  3. If necessary, expand the System or Personal Views.
  4. Click the file from the list under the File ID column. The file opens in the associated management form.
    (If the file state is Incomplete, the file will be opened in the submission form.)
  5. Note: An informational message will display if a constraint set combination is no longer valid. Click OK to continue.
