Users

Access to RL6 is controlled through the user profile. As an administrator you will need to create a user profile for each person in the organization who needs access to the application. Then you must manage user profiles to take care of issues such as resetting passwords, allowing the user to access other pages or the deactivating users who have changed position or left the organization. The Users page allows you to create and manage user profiles:

The LDAPClosedLightweight Directory Access Protocol is an application protocol for accessing and maintaining distributed directory information services over an Internet Protocol (IP) network. LDAP is a type of external authentication that can be used by your organization to maintain your login and password. Integration Module can be used to automate the creation of new RL6 users. Instead of relying on RL6 for authentication, your organization’s network directory is used instead (see External Authentication Fields).

To access the Users page, click the Users link under the Security heading in the Admin Center..

The Users page contains the following components:

  1. Action buttons (some buttons are active only when one or more records have been selected):
    1. New – Opens the Create User dialog, allowing you to create a new user profile. See Creating a Security Policy for more details.
    2. Edit – When you select an existing user record and choose this option, the Edit User dialog is displayed, allowing you to modify values for the user profile.
    3. Copy– Opens the Copy User dialog and inserts the value from the selected record into the various fields. All fields but the User ID are copied exactly. For the User ID field, the text CopyOf appears in front of the original User ID. You can modify the fields as necessary and click Save to create the new profile. See Creating, Editing or Copying a User for details.
    4. Reset Password– Opens the Reset Password dialog, allowing you to type a new password and, if desired, require the user(s) to change it the next time they login. An email notification is sent to the user(s) when you change their password. The password may also be reset from the Edit User dialog (see Changing User Settings for details).
    5. Note: If external authentication is used (sometimes referred to as LDAP or Active Directory), RL6 passwords and security policies are not used (see External Authentication Fields for details).
    6. Change Status– Opens the Change Statusdialog where you can set the Status field for the selected users to Active or InActive. When the status is changed to InActive or Locked Out, the user cannot log into RL6. Inactive users will not receive alert or task notifications until they are reactivated. In addition, any licenses formerly used by an inactive user can be assigned to another user.
    7. Note: If external authentication is used (sometimes referred to as LDAP or Active Directory), RL6 passwords and security policies are not used (see External Authentication Fields for details).
  2. Search – Provides a mini full-text search of user details
  3. Advanced Search button – Opens the Search - User Profiledialog to help you filter the list of users. From here, users can be searched by User ID, Name, Employee ID, Specialty, Title, Status, Info Center Template, Icon Wall Template, Report Center Template, RoleClosedAn attribute assigned to your user profile that determines the pages and functionality to which you have access in RL6. Name, ScopeClosedThe files to which you have access. name, logged in date range and date since last login.
  4. Reset List button – Removes any filters from the Advanced Search placed on the list of users and refreshes the list.
  5. User Status Report button – Generates a user status report in an .xls file. When you choose this option, the Export User Status Report to Excel dialog is displayed. Enter a file name, choose the options provided to determine the type of content to be included in the report and click Generate. You can open or save the file to your directory.
  6. Note: This option is visible for users who have the User Status Report role function enabled.
  7. Act As button – Allows you to immediately 'act as' the selected user
