Emailing a Report

PDFClosedA Portable Document Format is a file format that has captured all the elements of a printed document as an electronic image that you can view, navigate, print, or forward to someone else. versions or links to saved report within RL6 can be sent to any email address. Use the Select User dialog box to locate an existing RL6 user or type the email address into the To field.

Prerequisites: You must have the 'View / Run Reports' and 'Email Reports' functions enabled for your role.

To email a report:

  1. Generate an existing report (page 1).
  2. Note: The Email button is hidden if the report has not been saved or your role assignment does not permit you to email reports.
  3. Click the Email button and select:
    1. Email PDF Document – creates and attaches a PDF copy of the report.
    2. Email Link to Report – inserts a hyperlink to the current version of the report into the body of the email message. If the current version of the report is not available, the original version of the report will be shown.
  4. Note: Data included in reports is based on your role and scope. Sending a PDF of the report lets any user see the report exactly as you do. Sending as a link limits the data included in the report to the user’s role and scope permissions. For example, if the user doesn't have access to Public folders, they will receive an error message.
  5. For Send Via, choose Client to load the message into your computer’s email program or Server to send the email directly from this dialog box.
  6. Enter an email address into the To field:
    1. Type the email address into the field.
    2. Click the To link to search for RL6 users. If necessary, use the search box to filter the list of users.
  7. Enter a Subject and modify the contents of the message, if desired.
  8. Click OK.
