Navigating the File Info Center

The File Info Center page is where you see your open files. It comprises System Views and Personal Views.

Prerequisites: You must have the 'File Info Center' function enabled for your role.

To navigate the File Info Center:

  1. Click the clipboard icon to open the File Info Center screen. There are two different sets of views displayed on the File Info Center page: System Views and Personal Views. The number of new files in the view is displayed to the grid at the right.
  2. To open a file, click on the File ID or File Name link.
  3. Note: Unread files are indicated with bold and the File ID and File Name fields are underlined.
  4. To mark a file Important, click the Important icon (i.e. exclamation mark) in the file row. In the Mark File as Importantdialog, enter a reason. The Important flag is a user-specific attribute. FilesClosedThe electronic record created when a user submits an incident report, such as a fall or medication error, or when a patient provides feedback. Some organizations refer to files as events, reports, or cases. marked Important will remain so only for the user who flagged it. (To remove the Important tag, click on the Important icon.)
  5. To mark a file Confidential, click the Confidential icon (i.e. gray lock) in the file row and specify a reason in the Mark as Confidential dialog. Files marked Confidential carry this attribute regardless of who marked it.
  6. Note: If you have the proper role permission, you can make confidential files open to the public by clicking the blue Confidential icon.
  7. If this file is a duplicate file, the Duplicate File icon appears. Hover over this icon to view the associated primary file number.
  8. To search for a file, enter a keyword (e.g. from ID, file name) in the search field. The system searches for files with matching data from the columns in the view.
  9. To view the patient's file history in Patient Center, select the file and click Explore Patient(s). See Viewing Patient Center Search Results.
  10. Note: You must have access to the Patient Center for this button to appear.
  11. To view or print a summary of a selected file, choose one of the options. See File Summary Actions.
  12. To email or download a summary or to modify the properties of the selected file, click More to access a list of options.
  13. Note: The options that are available in your File Info Center page may vary according to the role permissions granted by your system administrator.
