Granting Folder Access Rights

Once a folder has been created, all users are able to view it and add files to the folder. Only the folder owner, however, can view the folder’s properties and make changes to the folder’s access rights. The folder owner can add users to the access rights list and define how they can interact with the folder by providing them with:

  • No Access – prevents the user from viewing the files contained within the folder. A lock icon appears next to the folder in the users result list.
  • Add/Remove – allows the user to add or remove files from the folder. The user’s assigned role(s) may override this setting.
  • Modify Rights – allows the user to access and work with the General and Access Rights tabs of the Folder Properties dialog.
  • Delete Folder – allows the user to delete the folder.

Prerequisites: You must have the 'FoldersClosedElectronic bins used to store files with similar attributes. Folders are created and populated from the management form.' and 'Edit Folder Properties' functions enabled for your role, and either be the folder owner or have the 'Change Folder Access Rights' function enabled.

To view folder properties and grant access rights:

  1. Access the Folder Management page (page 1).
  2. Select a folder to modify.
  3. Click the Edit link. The Folder Properties dialog opens.
  4. Click the Access Rights tab.
  5. Click the Add User link.
  6. Click the magnifying glass icon to locate the user for whom you would like to specify access rights.
  7. Check the box(es) next to the Folder Rights to define the user’s access.
  8. Note: Assigned roles also determine the users ability to work with folders. See your administrator for detail.
  9. Click OK. The user is added to the list.
  10. Click OK to return to the Search Page.
