Replacing Pick list Items

Replacing pick list items provides a way to modify the selections made on multiple files at once. Choose the value you would like to replace with the correct values and create an expression to determine which files get updated.

Prerequisites: The 'Pick List' and 'Replace Pick Lists' role functions must be enabled.

Note: You can only perform this action for a pick list which is used in a module for which you have the role permissions to edit pick lists. If you select a pick list that is not used in a module for which you have permission to edit pick lists, you will receive a message indicating this when you select a pick list and click Replace.

  1. Access the Pick List Manager page.
  2. From the Module drop-down menu, choose Common (i.e. for common pick lists) or choose a specific module (e.g. Risk). The grid displays all the pick lists for the selected module.
  3. Check the box for the pick list with values you want to replace.
  4. Note: If you don’t select a pick list, you can always use the List drop-down that appears in the Replace Picklist Item dialog.
  5. Click the Replace button. The Replace Picklist Item dialog opens.
  6. Select the pick list item from the Replacethis Value field.
  7. Select the value to enter in its place from the With this Value field.
  8. Select the appropriate radio buttons:
    1. Which modules should be affected by the replace - choose All (includes all modules using the pick list) or choose a specific module. Note: This option is not available for module specific pick lists and only appears if you selected a Common pick list (see Step 2). In this field, only specific modules for which you have access are displayed in this list.
    2. Which files should be affected by the replace – Choosing Specific FilesClosedThe electronic record created when a user submits an incident report, such as a fall or medication error, or when a patient provides feedback. Some organizations refer to files as events, reports, or cases. will bring up Expression Editor for you to define what should be replaced.
    3. Which expressions should be affected by the replace? – choosing All Expressions will make the change in scopes, alerts, saved searches, reports, columns in search results, and forbidden lists.
    4. What do you want to do with the original picklist item – choosing Keep the existing old value in the picklist and keep the visibility as is will keep both values in the picklists. Choosing Delete the value from the picklist will remove it going forward.
    5. Note: For common pick lists only, if you selected a specific module (e.g. Risk) from step 6b., the Delete the value from the picklist option is not available.
  9. Click OK.
