Emailing a File Summary

You can email a summary in PDFClosed or HTML format to a person or multiple persons.

Note: The SUMMARY_EXPORT_AS general system parameter determines whether the file format is PDF or HTML. You cannot email a file summary for incomplete files or for PeerReview files. Original Summaries are not available for files created using the Send To module. See Sending Data to Another Module.

To email a file summary:

  1. In the File Info Center page, select the file and click Email. The Email Summary dialog opens. (Alternatively, you can open a file and go to File Notifications > Summary > Email Custom Summary.)
  2. In the Send Via field, choose one of the following options:
    1. Client - sends the file summary with your comments through your client email software.
    2. Server - click the To field to enter recipients.
  3. (Optional) Enter the subject and message.
  4. Fill in the all other required fields. See Printing a File Summary for detailed descriptions of fields.
  5. Click OK. A new tab displays in your browser showing the file summary in HTML or PDF.
  6. If you chose:
    1. Client- a message is displayed at the bottom of your browser window prompting you to save the .eml object. This message may vary depending on your browser. The sample to the right shows the message in Internet Explorer. For most browsers, click Open. (In Google Chrome, click Keep.) Your email client software opens a new message window with the file summary attached in HTML format. Enter the recipients, make additional changes to the message as required, and send the email.
    2. Server- a message states that the message has been added to the server email queue.
