File Submission Tracker
Once you have submitted a file, you may receive an email notification that confirms your submission and provides additional information regarding the file (see Email Notifications for Submitted Files).
In addition to receiving email notifications for specific files, you can also use the File Submission Tracker to track and monitor progress for all files you have submitted (for which they have scope and domain access permissions) in the RL6 application.
Prerequisites: You must have the 'Tracker page' function enabled for your role.
Note: For 6.7.2, email notifications can be used for all modules but the File Submission Tracker is used for RL6:Risk only.
To help you navigate the File Submission Tracker page, let's look at some key components:
- File Tracker icon - click this icon on the Navigational tool bar to open the File Submission Tracker page.
- Note: If you do not have permission to access it, you will not see the File Submission Tracker icon. Contact your system administrator for more information.
- Date Range filter – By default, files submitted or closed within the last 3 months are displayed in the left panel. However, you can change the date range to choose files within the last 6 months, last 12 months or All (i.e., all files you have ever submitted which are open or closed).
- Left panel – displays files you submitted, one file per card. Each card shows the file number, file type, event date and the submission date. These files are grouped into two categories: Open (i.e., New or In Progress) and Closed and you can click on a category heading to collapse/expand the category. Files are sorted in chronological order by submission date for Open files and by close date for Closed files with the most recently files at the top. When you select a file here, more information about the file is displayed in the middle and right panels. By default, the system loads the 50 most recent submitted files.
- General File Information panel – displays details entered in the file. The status bar displays the current status (New, In Progress, Closed) of the file. The data that is displayed and the order in which it appears can be configured by your system administrator. By default, the system will only load the most 50 recent updates. However, you can use the scroll bar (i.e., scroll down) to load additional updates.
- File Updates panel – displays a list of actions (e.g. file submission, file opened, file updates, follow-ups, tasks, view summary, attachments added) that have been performed on the file. Actions are listed in chronological order from newest to oldest.
