Column Properties in View Management

When creating a system view in the File Info Center, you can determine which columns to show, the order in which columns are displayed, and how files should be sorted. In the Columns tab, the Columns & Order section (see example) shows all the columns in the order that they are displayed. In the Sort Order & Priority section, File ID is the column by which data is sorted in descending order, by default.

Note: You can rearrange, change, delete, or add columns for File views only. For Task views, you can rearrange, and determine the visibility of columns by clicking the eye icon. For Alert and File Interchange views, the columns are fixed and cannot be modified, moved or deleted. However, for all entities, you can determine sort order for the views. Prerequisites: The 'Administer Views' role function must be enabled.

To define column properties in View Management:

  1. Rearrange Columns - in the Columns & Order section, click on the drag handle to drag and drop a column up or down to a different position in the list.
  2. Change Column - modify the content of the column by clicking on the arrow, which will bring up a field search. Choose a field.
  3. Delete Columns - clicking the trash can icon to delete a selected column
  4. Add Column - Click Add Column, enter the name of the field in the search field and then select an option from the matches provided. For example, if you add the "Last Modified DateTime" column, you will see the most recent time that a file was modified and also use this column to sort all files by most recent update. New columns are added to the bottom of the list and you can rearrange them to a different position.
  5. Tip: For clear visibility, it is recommended that you add no more than eight (8) columns. For additional columns, details may be truncated.
  6. Note: For File views where the module is Feedback, there is an additional Subgrid section (not shown) for which you can show or hide and determine column properties.
